Videoconferencing allows people in different locations to meet without travelling.

Videoconferencing overcomes the costly and sometimes impractical element of travel. It won't substitute for all face-to-face meetings, but can reduce their frequency and effect savings in time, travel and accommodation costs. Most importantly, it lets you include staff who would not normally be able to attend particular meetings because of travel constraints.

Point-to-Point Videoconferencing

Each of the parties meets at the videoconference room and then it is as simple as a phone call. One group dials the other and the meeting is underway!

Multi-Point Videoconferencing
You can connect to a multi-point bridge if you need to hold a meeting between a number of sites at various locations.

Multi-point meetings are usually a little more formal than point-to-point simply because of the numbers involved. The chairperson controls the meeting so that all sites have an equal opportunity to speak.

Everyone involved in a multi-point simply dials a specific number and all parties are connected through a "bridge", or the bridge may also dial each site.

How to Organise a videoconference through Westlink
Booking a videoconference with any number of sites in Australia or overseas is as easy as a phone call to the Westlink office in West Perth on (08) 9217 1459.

Westlink will make all of the arrangements and confirm your booking for you. This efficient service saves you time and effort.

Ideally, you should book your videoconference at least one week in advance - longer for overseas sites. However, videoconferences can be arranged at short notice if the facilities have not been booked by someone else.

Videoconferencing Tips
You need to undertake a few steps to ensure that your participants are in the right place at the right time and your meeting is effective. Things to be done are:
  • Check when participants are available. It's a good idea to have a couple of alternatives.
  • Book all sites through the Westlink office
  • Notify participants of:
    1. Venue and time
    2. Contact person and details
    3. Subject matter
    4. What to bring/prepare
  • Confirm details with participants close to the date
  • Distribute agendas
None of these steps is any different to organising a face-to-face meeting.
